This position is responsible for the accurate maintenance, security, and management of consumer health records in compliance with Center, State, and Federal standards. Additionally, this role oversees the efficient daily operations of the Stephens County office, ensuring high-quality customer service and administrative support. The position requires direct interaction with consumers, internal departments, and external agencies, including assistance with state and federal benefits programs.
Essential Duties and Responsibilities:
• Maintain and safeguard consumer health records in accordance with all applicable regulations.
• Process and file incoming records; manage requests, archival functions, and documentation tracking.
• Monitor compliance with Community Standards and relevant regulations pertaining to medical records.
• Provide courteous and timely responses to internal and external inquiries, including client and crisis calls.
• Manage day-to-day operations of the Stephens County office, ensuring professional and organized service delivery.
• Perform accurate and timely data entry in systems such as Netsmart; verify documentation before input.
• Conduct financial assessments and insurance verifications for clients in Stephens and Shackelford Counties; run BECA reports and utilize RevConnect for insurance checks center wide to ensure accurate insurance type and priority is in the system.
• Maintain frequent face-to-face contact with consumers and families; provide respectful and knowledgeable service.
• Collaborate with internal departments, the Consumer Benefit Unit, and external agencies to coordinate service delivery.
• Ensure compliance with documentation standards and follow protocols for timely submission of required reports and information.
Qualifications:
• Graduation from a standard senior high school or equivalent; minimum of one (1) year full-time paid experience in clerical work, preferably in medical records
• Strong knowledge of grammar, punctuation, spelling, and word processing
• Computer literate
• Ability to interpret/follow verbal and written instructions
• Experience in the operation of microfilm and other office equipment preferred.
• Experience in mental health and/or medical services preferred.
• Must have a valid Texas driver's license and be an insurable driver.
Hours for this position are Monday - Friday, 8am-5pm, flexible.
This is a Full-Time position. Benefits are available.
Will be eligible for a one- and two-year step increase, depending on satisfactory performance.
